You can set up an evaluation on the BoardClic platform in four steps: Evaluation type, Template, Participants and Schedule. The progress bar at the top of the page shows which step you are on.
Save as you go: Click Save draft at any time. Nothing is sent to participants until you schedule the evaluation.
Step 1: Start an evaluation
In the menu on the left, go to Overview.
Click Start an evaluation.
Choose the evaluation type you want to proceed with:
Board Evaluation evaluates the quality and efficiency of the board's work, composition and alignment.
Step 2: Choose a template
The template decides which questions are included. Start from a BoardClic standard template, or create a custom template from one of them.
Select a template. Under BoardClic standard templates, click the template you want to use. Each template shows the number of chapters and questions and roughly how long it takes to answer. Templates you have adapted earlier are listed under Your custom templates.
Preview. Click Preview to see the questions before you choose. You can also download as PDF if you like.
Create draft and continue. When you have selected a template, click Create draft and continue.
Want to adapt the questions? Click Create custom template. A custom template always starts from one of the standard templates, and you can then add or remove questions to suit your organisation.
Step 3: Add participants and roles
Add the people who will take part, give each person a role and choose who has access to the report.
Add participants. Under Your organisation, find the people who should take part (you can search by name or email). Click + next to a person to add them, or click Add all to add everyone.
Set the role. In the Role column, choose the role each participant answers as, for example Chair, Non-executive director or Executive. Roles decide how results are grouped in the report.
Choose report access. Turn on the Report access switch for each person who should be able to read the results. Everyone else only answers the evaluation.
Click Continue.
Someone new? Under Someone new, enter their first name, surname and email address, then click Add. They join your organisation and are invited when the evaluation opens.
To remove a participant, click the × at the end of their row.
Step 4: Schedule and send
Choose when the evaluation runs. We recommend 7 to 10 days for a Board evaluation.
Start date. The day invitations are sent to participants.
Deadline. The last day participants can answer.
Automatic reminders. Turn this on to remind participants who have not answered yet.
Review. Check the participants, their roles and any limited anonymity warnings. A role is marked limited anonymity when it has so few participants (for example a single Executive) that their answers can be told apart. Consider adding more people to that role if anonymity matters.
Schedule evaluation. When everything looks right, click Schedule evaluation. Invitations go out on the start date, or immediately if you chose today's date.
What happens next?
Your evaluation appears on the Overview page, where you can follow the response rate and see who has answered. When the evaluation is completed, the report becomes available. To learn how to read and share it, see How to find, read and share your Board evaluation report.
