Pre-evaluation communication with participants

Email template for communication with participants prior to sending an evaluation

Updated over 11 months ago

We strongly recommend that you give your participants (board members, management teams, etc.) notice before you invite them to take part in a board evaluation via BoardClic's platform. Informing them about the what, when and how will lead to more transparency and a higher level of engagement.

Below is an email template that you can use for your communication:

We intend to conduct a board evaluation in {Company Name} using BoardClic. BoardClic is a new and unique approach to board evaluations and is entirely digital.

The purpose of the evaluation is to collect and share feedback on the board's work, identify priorities and clarify strategic goals. It is also an effective tool for improving communication, transparency and trust within the board and organisation.

As a next step, you will receive an email from BoardClic inviting you to participate in the digital evaluation on {Start Date}. It takes about 30 minutes to answer all of the questions. Please respond to the evaluation as soon as possible, no later than {Deadline}. Participant answers are grouped by role, which means roles with only one participant, e.g. the chair, will not be anonymous. Other participant answers and all open comments questions will be anonymous.

Please take the time to answer as openly and honestly as possible. Your opinion is important to achieve the best possible results. If you have any questions regarding the evaluation, you can contact us or BoardClic directly (contact information will be shared in the upcoming email invitation).
